Sample certificate
Every let or sale you check on Certaby ends with one signed certificate for your file. This one is for a sale, with a made-up buyer, seller and property, laid out exactly as yours would be. What each part means is underneath.
Sample: the people, property and firm are made up, for illustration. Not a real certificate.

What this certificate means
This certificate evidences that the checks above were performed for this transaction on the date shown. A possible match on any check is something to review, not a confirmation. The firm named above reviews each result and records its own decision; Certaby records and evidences the checks, it does not make the regulatory decision. The personal details of the parties are retained by the firm under the Money Laundering Regulations 2017 (7-year retention) and are not shown on the public verification page.

What each part means
- Checks complete
- Every automated check ran. If one could not run, the certificate says so and names it, rather than calling itself complete.
- Issued by
- Your firm’s name and address, the date and time, the type of job and your own reference.
- Parties screened and property
- Everyone in the job: buyers, sellers, anyone paying and representatives, and the property. For a company, its directors and owners are found at Companies House and checked as well.
- Checks performed
- Each check and how it ended: sanctions on the UK, UN, EU and US lists, PEP and adverse media (on every sale), the ID check you do and record, the risk and source of funds record, and the property risk pack if you add it.
- Ongoing monitoring
- The people are checked against the sanctions lists every day while the sale goes through, and if one of them is added to a list you get an email that links to the transaction. The first 6 weeks come with the checks; after that it is 10p a person a week, or included in a membership.
- Customer due diligence
- For each buyer and seller: where they live, what the transaction is for, where the money comes from, whether they are politically exposed, your risk rating and the evidence you kept. Where the law asks for enhanced checks (a PEP, or someone in a high-risk country), it also shows that you verified the source of funds.
- Lists screened against
- The date of every list and register used, so anyone can see the checks were run against current data.
- The verify link and the hash
- Anyone you show it to, such as HMRC, a solicitor or a lender, can open the link to confirm it is genuine and unchanged. The public page shows the firm, the date, your reference, the checks and the lists, never the names of the people or the property. Keep your reference to a file number if you will share the link.
Certificates and the records behind them are kept for 7 years, and the verify link works for that time without a login. Save a copy to your own file with “Save as PDF / Print”.

Digital ID checks, by a link
Today you check each person’s ID document and Certaby records it: the “ID check (you check, we record)” line above. We are adding digital ID checks through a government-certified identity provider:
- From the transaction, you send each buyer and seller their own secure link.
- They verify on their phone with their photo ID and a selfie, usually in a few minutes.
- The result comes back to the transaction by itself, the provider’s report is kept with your file, and the certificate shows the ID check as verified.

Paid per person from your credit when it arrives. The ID check you do and record stays free.
